Welcome to the Grow and Perform at Stanford performance program.

The purpose of this annual summary job aid for managers is to assist you through the annual summary process step-by-step. 5-pt. refers to the grading system employed by the Alumni Association, Business Affairs, External Relations, Land, Buildings & Real Estate, Offices of the President & Provost and University Human Resources.

Launching GPS

  1. Navigate to Axess and login using your SuNET ID.
  2. Select 'Employee Center' in the navigation at the top of the webpage.
  3. Scroll down to the Performance Management menu in the right-hand column of the webpage and select Grow and Perform at Stanford (GPS) System.

Accessing the Annual Review Document

  1. Ensure that you are under the 'Me' tab at the top of the GPS system webpage.
  2. Select 'Performance' under Quick Actions, right under the 'Me' tab.
  3. The 'Goals and Performance Overview' page will open.
  4. Select the (year) 'Annual Performance Review' hyperlink in blue.

Note: Each text box has a 2000-character limit

Evaluating Goals

1. On the performance document, select 'Evaluate' to the right of 'Annual Summary (Achievements and Growth Opportunities)' If the approved goals are not appearing, sync the annual review to the approved goal plan.

Note A: To the right of each approved goal, use the dropdown to select a rating.

Note B: Comments are optional in this section. You can select and enter comments for individual goals, or only choose to write a summary utilizing the 'Summary Comment Box.' You can also choose to use all boxes.

Note C: After you’ve entered a rating for all goals and summary rating/comments, select 'Save and Close' at the top right corner.

Note D: After selecting 'Save and Close,' you will return to the Goals and Achievements list.

Note E: Use the back arrow to the left of 'Annual Summary (Achievements and Growth Opportunities)' to return to the Annual Review Document.

2. Select the 'Edit' icon to the right of 'Annual Summary (Achievements and Growth Opportunities)'; use the drop-down to select a rating:

Note A: Add comments.

Note B: Select 'Save.'

3. Submit your evaluation by selecting 'Submit' in the upper right corner of the page.

Note A: If the employee needs to make edits or add comments to their evaluation, you can select the 'Return to Worker' button to allow them to make edits.

Note B: You will only be able to 'Submit' after the employee submits their self-evaluation.

Note C: Bargaining Unit employees are able to select 'Bypass Self-Evaluation' at the top right of the screen.

4. A green check mark will appear next to 'Manager Evaluation of Workers' upon successful submission.

Note A: If you make additional comments or edits after submitting the evaluation, please contact your local HR department to have the document returned to 'Manager Evaluation of Worker' status.

5. Select the 'Annual Performance Review' hyperlink

Note A: Select 'Indicate Meeting Held.'

Note B: Enter the date the meeting was held by selecting the calendar icon.

Note C: Select 'Submit.'

Your direct report will then acknowledge the final review and provide any additional comments. This will conclude the Annual Review process.

To sync the annual review document to the approved goal plan, take the following steps:

  1. Select 'Performance'
  2. Select '(Year) Annual Performance Review'
  3. Select the 'Goals and Achievements' blue hyperlink
  4. Select 'Actions' under Goal and Achievements (only summary comments are required)
  5. Select 'update goals.'

Bypass Self-evaluation Function

You will only see the 'Bypass Self-evaluation' if your direct report has not yet submitted their self-evaluation.

Return to Worker Function and Submit Button

When you select 'Return to Worker' the performance document will be returned to your employee for edits. The employee will need to resubmit when the document is ready.

When you select "Submit," the document will advance to the third step in the Annual Review process, which is "Manager Confirms Meeting Was Held."
