Plan ahead: System outages, key deadlines, and training in preparation for Sequoia

Some systems you use may have limited functionality or downtime during the transition. Plan ahead by noting key deadlines and completing training to stay on track for the July 6 launch.

Exciting changes are on the horizon. As we gear up for the launch of Sequoia, Stanford's new HR and Payroll system set to roll out on July 6, there will be a period in which data from our current HR system, PeopleSoft, will be migrated to the new system. 

As part of the transition process, several systems and applications you typically use may have limited functionality or will experience downtime to prepare for Sequoia’s launch. To minimize disruption, specific processes will be implemented at the school and unit level and by University Human Resources (UHR) to manage critical actions during the downtime.

Axess and other planned system outages

Below is a chart summarizing the planned system outages for Axess, StanfordYou, and other services, with limited functionality starting June 5. Please take note of important deadlines and actions you’ll need to take in June under Take Action. By planning ahead, we can ensure a seamless transition to Sequoia.

Your school and unit HR teams, including SLAC, will provide further details on any additional tasks and department-specific instructions to be aware of.

To keep you informed, you’ll see system notifications reminding you of key deadlines as they approach.

  • News and Announcements (phased out by July 6)

 

June 4 (5 p.m. PT) deadline: 
Update your personal information and emergency contacts to ensure this data is migrated to the new system.  

Starting July 6, you’ll start managing most of your personal information in Sequoia.

June 26 (5 p.m. PT) deadline: 
Time card entries for the pay period ending June 30 should be entered and approved. This is also the deadline to make changes to direct deposit bank accounts and withholding allowances. 

When Sequoia launches in July, many of your employee and manager actions such as time and leave and work agreements, will be managed in Sequoia. Also, the News and Announcements section will no longer be available starting July 6.

  • Axess Time card
  • TGP
  • STARS
  • Graduate Assistantship (GA) Center
  • GFS Center
  • Student Center

June 26 (p.m. PT) deadline reminder: 
Time card entries for the pay period ending June 30 should be entered and approved. This is also the last day to make changes to direct deposit bank accounts and withholding allowances. 

You may continue to access the benefits and retirement savings portals on Cardinal at Work.

June 4 (5 p.m. PT) deadline: 
Update your personal information and emergency contacts to ensure this data is migrated to the new system. 

Only critical actions (e.g., updates to home and mailing address, emergency contacts, visibility, or work device contacts) will be supported during the downtime. All other updates will be on hold until Sequoia launches on July 6. To request support, employees may submit a help ticket on the Services and Support portal.

Sequoia will serve as the primary source for personal information, starting on July 6. When you update your personal information, it will automatically be fed into connected systems, such as StanfordYou.
