Verify Eligibility for Employment (I-9)

To comply with U.S. law, Stanford must verify eligibility for employment for all new employees – within three business days of hire – by collecting a Form I-9 and reviewing original documents that establish the employee's eligibility to work in the United States.

About Form I-9 

Form I-9 is used by employers to verify the identity and employment authorization of individuals hired to perform work. The university is required by law to verify the eligibility of every employee, including faculty, staff, temporary/casual employees, and student employees.

Form I-9 has two sections, which have different deadlines.

  • Section 1 requires you to provide personally identifiable information and to attest to your citizenship or immigration status. You must complete and sign Section 1 of Form I-9 no later than your first day of work.
  • Section 2 is completed during your I-9 appointment. During your I-9 appointment, an HR representative will review your documents to verify they appear genuine and relate to you. You must complete Section 2 within three business days of hire.

It is strongly recommended that you complete Form I-9 before your start date to ease your onboarding process and avoid missing the deadline. If you do not complete the Form I-9 within the first three days of hire, you cannot lawfully be employed by Stanford and cannot continue working.

Make an I-9 appointment

You are responsible for scheduling an in-person I-9 appointment to meet a University Human Resources (UHR) representative to review and confirm your ability to work in the United States. Stanford makes it easy, with multiple locations on varying days of the week.

SLAC and remote employees do not use the Central I-9 appointment locations to complete the verification process. Here's what they need to know:

  • For employees at SLAC: A staff member will contact you directly to complete Form I-9.
  • For fully remote employees: We recommend using I-9 Anywhere to complete Form I-9. Contact your local HR representative for other options. 


For areas that DO use Central I-9 locations: Locations and instructions for scheduling an I-9 appointment are at the bottom of this page. At each location, there should be a sign (or information in your confirmation email) that instructs you to call a phone number when you arrive, as the buildings may require entry assistance.

Documentation to bring to the appointment

You must present original, current, and unexpired physical documents to establish your identity and employment authorization. You may either present one document that establishes both identity and employment authorization or a combination of two documents, one that establishes identity and one that establishes employment authorization. Photocopies and electronic copies are not acceptable. Expired IDs are not acceptable. See a list of acceptable documents on page 2 of the federal government's Form I-9.

New and rehired employees who have not completed the Form I-9

  1. Download the Form I-9 and complete Section 1 no later than the first day of employment
  2. Schedule an appointment at a location using the buttons below (appointment must be within three business days from the first day employment)
  3. Print and bring the Form I-9 with the acceptable document(s) to the appointment

Current employees who need to re-verify due to a change in status, employment authorization, or employment authorization documents

  1. Schedule an appointment at a UHR location using the buttons below
  2. Bring current and valid document(s) to the appointment
  3. If possible, please bring recently expired documents to the appointment to ensure we have all necessary documents on file. If you have held prior jobs at Stanford, please bring the original I-9 documentation that was provided for your original start date(s) in addition to the current and valid documents
