New Hire Enrollment

It’s simple. All it takes is a completed enrollment form from your school or business/administrative unit HR team and the Welcome Center will handle the rest.

Enrollment Process

 

As the hiring manager, you cannot initiate the process with the Welcome Center. You must work through your school or business/administrative unit HR team to do so.

  • HR Managers or HR team administrators: Email a completed enrollment form (below) to the Welcome Center at welcome-to-stanford@stanford.edu
  • Hiring Managers:  Contact your school or business/administrative unit HR team to start the process for your new staff hire

Search Match

Before providing the Welcome Center with an enrollment form, always verify first if an incoming employee has an existing Employee ID (or University ID) at Stanford before adding the person to the PeopleSoft database.

Important!  
If a Search Match is not conducted, it is possible that a duplicate ID may be created. A duplicate ID prevents the new employee from receiving a Stanford ID badge, enrolling in benefits, getting a SUNet ID or getting an existing SUNet ID activated, setting up email, as well as not being able to participate fully during their the Welcome Center orientation. It can take weeks to resolve and requires the effort of several departments to correct.


Enrollment Forms

The enrollment form you complete and the information you provide, allows the Welcome Center to begin the onboarding process and send the invitation to your new hire in a timely manner. Any incomplete or inaccurate information contained on the enrollment form will delay this process. Please always verify e-mail addresses and departmental information is correct. To verify you have selected the correct Administrative/Business Unit, access the Stanford Org Code Hierarchy, expand the nodes, and always select the level 2 Administrative/Business Unit.

For new hires not yet hired in PeopleSoft:

  • For schools or business/administrative units that use HR Transaction Services for hiring.
  • Enrollment forms are due on Tuesdays by 11 a.m. for new staff attending orientation the upcoming Monday.
  • Depending on when the enrollment form is received, participants will receive a Welcome Center email invitation between 8-2 days prior to their scheduled orientation.
  • To correctly fill out this Welcome Center enrollment form, review the Not Hired in PeopleSoft example.

For new hires already hired in PeopleSoft:

  • For schools or business/administrative units that process their own hires, such as; School of Medicine, Law School, School of Humanities & Sciences, Hoover Institution, Office of General Counsel, SLAC, and University Human Resources.
  • Enrollment forms are due on Thursdays by 11 a.m. for new staff attending orientation the upcoming Monday.
  • Depending on when the enrollment form is received, participants will receive a Welcome Center email invitation between 8-2 days prior to their scheduled orientation.
  • To correctly fill out this Welcome Center enrollment form, review the Hired in PeopleSoft example.
